Your printer is turned on, connected to Wi-Fi and appears to be working normally, yet Windows says offline when you try to print.

This is a common printer problem, and it doesn't necessarily mean your printer is broken. The issue may be caused by a stuck print job, a network connection, Windows settings, a printer driver or communication problems between your computer and printer.

Before replacing the printer, there are several things worth checking.

What Does "Printer Offline" Mean?

When Windows reports that a printer is offline, it means your computer isn't currently communicating with the printer as expected.

The printer itself may still be powered on and connected to your network.

Common causes include:

•    A temporary Wi-Fi problem
•    A stuck print job
•    Incorrect printer settings
•    An outdated or damaged driver
•    A changed network address
•    Windows communicating with the wrong printer
•    Problems with the router or home network

Check That Windows Is Using the Right Printer

If you have owned more than one printer, Windows may have several printer entries.

•    An old printer

If the basic troubleshooting steps haven't worked, removing and reinstalling the printer with the correct manufacturer software may resolve the problem.

Download drivers from the printer manufacturer's official website rather than an unfamiliar driver-download site.

The Printer May Have a Network Address Problem

Your printer has a network address that allows other devices on your network to find it. In some situations, that address can change.

The printer may still show that it is connected to Wi-Fi, but your computer could be trying to contact it using outdated information.

Network configuration may need to be checked if the printer repeatedly disappears from Windows or keeps changing between online and offline.

Does the Printer Work From Another Device?

Your computer needs to connect to the network, the printer needs to be connected to the same network and the two devices need to be able to communicate with each other.
